8 Basic Things You Should Keep In Mind While Planning an event


Event management is not every one's cup of tea and definitely never a piece of cake.  Today with the advancement in the technologies you may find thousands of options for any event management there are hundreds of things that could go wrong. Learning the nuances of managing an event is crucial if you are looking to host a successful event. Effective event planning is essential.  1. Not all events are the same!
A classic mistake by event managers would be to think the same way for all events. Each event is different and requires different and innovative thinking. You cannot actually manage to perform the same things for two different types of events. Hosting a corporate event requires you to have a complete know how of protocols and procedures. On the other hand, managing a concert requires you to have knowledge about sound systems and various other resources too.

We all know that event budgets can be some of the saddest things in the world, but this doesn’t mean that you should neglect things that might come back to haunt you during your event. Just consider the risk in cutting minor costs during your planning process – you don’t want to make a decision you will later come to regret.

 3. Have you obtained the necessary permits to hold your event? 
Whether or not you are required to apply for a Special Events Permit will depend on your community, town, or city law. This should be the first thing you look into. Some communities require that you file a permit for any event over 1,000 attendees while some may request an application for any event over 10. There may also be a threshold number at which police presence is required to ensure the orderliness of your guests. Your best method is to contact your city council or local government so that they can inform you of any special requirements for holding an event in the area. 
4. Set a Budget, and Stick To It
Corporate events especially weddings and grand celebrations can be very expensive, and just like any other event; you may find yourself wanting to add additional items to your master list closer to the event date, which may not have been in your set budget.
Make a budget and stick to it. If you think you may have “wish list” items that will pop up closer to the time of the event, add those items in with your set budget from the very beginning. Aim to never exceed the set amount you have budgeted for from day one.
If you overspend on flowers or other decorations, then you must cut back from something else on your list. Be flexible with yourself, and prioritize the big spend items and must-have items first on your budget, knowing that those have to be paid for, as opposed to “wish list” items that can get cut at anytime.
5. Prepare and arrange correctly
Hosting an event requires you to understand your responsibilities. All organizers should know their duties perfectly so that nothing is missed out. More, you need to be careful about the arrangements, especially proper technical equipment's.  You do not want the mike to go off in the middle of a performance, do you?
6. Adhere to the rules
Before you organize an event, you might need to take permissions or ask your event manager to do so, from all the authorities or follow a certain procedure. Remember to complete all the formalities and adhere to all legal rules so as to avoid any complications.
7.  Don’t you panic!
One of the worst things that could happen is that you panic if something goes wrong. Things do not always go right even if you do meticulous event planning. Event Management requires a good amount of planning and an ability to shred off the most difficult of situations with a smile on your face. Even if anything goes wrong during the event, instead of fretting over it, try to make sure everything else goes right!
8. Anticipate Challenges
No wedding or any event, however well planned by the best event planners, will ever come off perfectly. Keep yourself cool at all times, and have a back-up plan to your back-up plan.
